1. Agreement
By accessing or using BidPilot ("the Service"), operated by BidPilot Ltd ("we", "us"), you agree to be bound by these Terms of Service. If you do not agree, you must not use the Service. These terms are governed by the laws of England and Wales.
2. Service Description
BidPilot is an AI-powered procurement intelligence platform that analyses tender documents to extract structured data including deadlines, certifications, insurance requirements, scoring criteria, and risks. The Service generates analysis reports based on the documents you upload.
3. Your Responsibilities
You are responsible for ensuring you have the right to upload and process the documents you submit. You must not upload documents containing classified, national security, or illegally obtained material. You acknowledge that AI-generated analysis is advisory and should be verified by qualified procurement professionals before making bid/no-bid decisions.
4. Intellectual Property
You retain full ownership of all documents you upload and the analysis reports generated from them. We claim no ownership or licence over your uploaded content. The BidPilot platform, including its design, code, branding, and proprietary analysis methodology, remains the intellectual property of BidPilot Ltd.
5. Document Handling
Uploaded documents are processed in-memory and are not stored on our servers. Documents are automatically deleted upon completion of analysis. We do not retain, archive, or back up your uploaded files. For full details, see our Privacy Policy.
6. AI Disclaimer
BidPilot uses artificial intelligence to extract and analyse tender documents. While we strive for accuracy, AI analysis may contain errors, omissions, or misinterpretations. Reports are provided as decision-support tools, not professional legal, financial, or procurement advice. You should independently verify all extracted data against the source documents before relying on it for bid submissions.
7. Limitation of Liability
To the fullest extent permitted by law, BidPilot Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability for any claim arising from or related to the Service shall not exceed the amount you paid to us in the 12 months preceding the claim, or £100, whichever is greater.
8. Pricing & Payments
Paid features are billed through Stripe. All prices are displayed in GBP and are exclusive of VAT unless stated otherwise. You may cancel your subscription at any time. Refund requests are handled on a case-by-case basis within 14 days of purchase.
9. Acceptable Use
You agree not to: reverse-engineer or attempt to extract the source code of the platform; use the Service to conduct competitive intelligence against BidPilot; submit automated or scripted requests intended to overload the platform; share your account credentials with unauthorised third parties.
10. Termination
We reserve the right to suspend or terminate your access to the Service if you breach these terms. Upon termination, your right to use the Service ceases immediately. Any data associated with your account will be deleted in accordance with our Privacy Policy.
11. Changes
We may update these terms from time to time. Continued use of the Service after changes constitutes acceptance of the updated terms. Material changes will be communicated via email to registered users at least 14 days before taking effect.
